Hire terms

Welcome

These terms are here to keep every booking at The Studio easy, fair and safe for everyone. We've kept them in plain English. If anything isn't clear, just ask.

• "We" and "us" means The Studio at Lonsdale House. "You" means the person or group making the booking, who must be 18 or over.
• By making a booking, you agree to these terms.
• We hire out the room only. Your class, session, meeting or event is yours to organise and run, including providing any equipment you need and supervising everyone attending.

Booking and paying

• The minimum booking is 90 minutes. Your booked time includes setting up and tidying away. Online bookings can be made up to 48 hours before your start time. For anything sooner, just call us and we'll do our best.
• Introductory rates until 1 April 2027: we're pleased to offer introductory rates while we establish The Studio as a welcoming space for the local community. We'll review our pricing from 1 April 2027 and give existing regular hirers reasonable notice of any changes. Current rates are:
• Hourly hire: £22 per hour.
• Half-day hire: £70 for four hours, then £17.50 per additional hour.
• Full-day hire: £120 for 7 to 8 hours.
• Regular weekly hire: £20 per hour, reducing to £17.50 per hour for four or more hours in a week, when you book sessions in four or more different weeks. Times can vary from week to week.
• Meeting room setup: £10.
• Payment in full, in advance: your booking is confirmed once you've paid in full. One-off bookings are paid by card when you book, and we'll email your confirmation and invoice straight away.
• Regular weekly bookings: you can book the same weekly slot online for up to 12 weeks in one go and pay in full when you book. Book sessions in four or more different weeks to qualify for our regular weekly rate. They don't need to be at the same time each week. Ongoing slots are invoiced monthly in advance. You can save a card with us so each month's invoice is paid automatically, or pay by card using the link on your invoice. That month's sessions are confirmed once the invoice is paid in full. If a payment fails or an invoice isn't paid, we'll let you know straight away and send a link to pay, but we can't hold your space unless it's paid. If it's still unpaid by your first session of the month, those sessions will be released and other hirers may book them.

Getting in, and getting hold of us

• 48 hours before each session we'll email you a door code, which gives you full access to The Studio through its own entrance, down the steps from Daltongate. There's no need to use the hotel's main front door. Please keep the code to yourself and your group, and make sure the door is closed behind you when you leave.
• For parking, Daltongate Car Park (LA12 7BD) is directly opposite and Stockbridge Lane Car Park (LA12 7BE) is a 90-second walk away. Both are paid during the day and free from 6pm to 8am.
• Our team aren't always on site, so if you need anything or something isn't right, please call us on 01229 265 217 or email [email protected] and we'll sort it as quickly as we can.

If your plans change

• Cancelling: let us know more than 48 hours before your start time and we'll refund you in full. You can use the link in your confirmation email, or just get in touch. If you've booked several sessions, each one can be cancelled on its own. Within 48 hours we're not able to refund, as it's usually too late for us to offer the room to someone else.
• Moving a booking: with more than 48 hours' notice, we're happy to move you to another available time at no charge. If the price is different, we'll charge or refund the difference.
• Regular weekly bookings: there's no long-term tie-in. You can end your regular arrangement at any time with two weeks' notice. Your regular bookings and payments continue during the notice period. Going away? You can pause your slot for up to four weeks a year with seven days' notice, and keep your time and weekly rate. If something comes up, you can swap one session a month to another available time that week or the next, with 48 hours' notice.
• Refunds go back to the card you paid with, usually within 5 to 10 working days.

Looking after The Studio

• Please be mindful of others and make sure your class or event finishes on time, so our team can clean and prepare The Studio for the next booking. If your session runs beyond your booked time, we'll charge £11 for every additional 30 minutes or part thereof, subject to availability. If this affects the next booking, you may also be responsible for any reasonable costs we incur as a result.
• Up to 15 people can use The Studio at any one time.
• Please leave The Studio as you found it: furniture back in place, rubbish taken away and lights off.
• If you notice a problem or something gets broken, please call or email us straight away, so we can fix it before the next group comes along. Accidents happen, and we'd much rather know.
• To keep everyone safe, please no candles, incense, open flames or fires of any kind. LED candles are very welcome. Smoking and vaping aren't allowed anywhere in the building.
• Our hotel guests stay in the apartments right above The Studio, so please keep noise and music low at all times. Please keep music low in the evening and leave quietly. All bookings finish by 10pm.
• Alcohol is fine only if we've agreed it with you beforehand.
• Your booking covers The Studio and any facilities we've agreed with you. Unless there's an emergency, there's no access to the hotel, so our guests can enjoy their stay in peace. It works both ways: hotel guests can't come into The Studio, so nobody will disturb your session either.

Free storage for regular hirers

• If you hire The Studio regularly, you're welcome to keep your mats and equipment here free of charge, in the space we agree with you. Please label everything with your name.
• Storage is provided as a convenience and is at your own risk. We can't accept responsibility for loss, theft or damage to stored items, so please don't leave valuables and make sure your equipment is appropriately insured.
• If your regular booking ends, please collect your things within two weeks of your last session.
• For one-off bookings, please bring what you need and take everything home with you.

Staying safe

• Please make sure you and everyone attending follow our health and safety policy below. As the instructor or hirer, you're responsible for organising and supervising your session and everyone who attends it. Please make sure they follow these house rules, stay within The Studio and don't go into the rest of the property.
• Instructors, practitioners and businesses must hold public liability insurance of at least £1 million, appropriate to their activity, and any qualifications or professional registrations their activity requires. Evidence must be provided on request. Private parties and small community groups don't need their own insurance to book.
• If children or vulnerable adults attend, you're responsible for their safeguarding and supervision, and for any DBS checks the law requires.
• Please make sure the people taking part are fit and well enough to participate in your activity.
• In an emergency, call 999 first, then let our team know immediately on 01229 265 217. For any other accident or injury, please tell us the same day.

Damage and responsibility

• If anything is damaged during your booking beyond normal wear and tear, we'll ask you to cover the reasonable cost of putting it right, including any additional cleaning needed. This includes damage caused by you or anyone attending your session.
• We're not responsible for belongings left in The Studio or items stored there by regular hirers.
• Our liability to you is limited to the hire fee for the booking concerned, except where the law does not allow us to limit or exclude liability. Nothing in these terms limits liability for death or personal injury caused by negligence, or any other liability that cannot legally be limited or excluded.

If we need to change things

• If we ever have to cancel your booking, for example because of a problem with the building, we'll refund you in full or move you to another time, whichever you prefer. We won't be liable for any other costs, except where the law requires otherwise.
• We may decline a booking, or ask a group to leave, if an activity is unsafe, unlawful or unsuitable for The Studio, or if there is a serious or repeated breach of these terms. Where possible, we'll give you the opportunity to put things right first. No refund will be given where a booking has to end because of a serious safety issue, unlawful activity or a serious breach of these terms.
• We may update these terms from time to time. The terms that apply are the ones in place when you booked, unless a change is required by law.

Your information and getting in touch

• We use your details to manage your booking, take payment securely through Stripe, and send your confirmation, invoices and reminders. We keep booking and payment records for our accounts. Our Privacy and Data Usage Policy explains more.

Health and safety policy

Thank you for helping us keep The Studio a safe, happy place for you, your group and our hotel guests upstairs. As the instructor or hirer, you're responsible for everyone attending, so please share these points with them.

Fire safety

• Please no candles, incense, open flames or fires of any kind, and no portable heaters, smoke or haze machines or other heat-producing equipment.
• Keep fire exits, doors and corridors clear at all times.
• Main emergency exit: out through the front door and up to Daltongate. The fire assembly point is the car park across the road. If that way is blocked or can't be reached, use the rear exit: take the internal staircase up to the back of Lonsdale House, leave by the fire door and gather in the garden area.
• If the fire alarm sounds, stop your session, leave by the nearest exit, take your group to the assembly point and don't go back in until it's safe.
• When you arrive, take a moment to find the fire exits and fire procedure notice, and point them out to your group.

Equipment and set-up

• Set up so there's nothing to trip over, like trailing cables or bags across walkways.
• Anything you bring is your responsibility, so please make sure it's safe and in good working order. Please don't chain extension leads together.
• Take care near the mirrors, and keep weights and hard equipment away from them.
• Regular hirers storing kit with us: please keep it tidy, labelled and in the space we've agreed.

Accidents and problems

• Please make your own first aid arrangements to suit your activity.
• If there's an accident, injury, near miss or anything gets damaged, please call or email us the same day.

Children and vulnerable adults

• If children or vulnerable adults attend, you're responsible for their supervision and safeguarding, and for any DBS checks the law requires.
